# Terms and Conditions

By accessing and using this internal employee communications platform, you agree to be bound by these Terms and Conditions.
## 1\. Acceptance of Terms
By accessing and using this platform, you accept and agree to these terms. This platform is provided for internal business communications of 49th Parallel Roasters employees only. If you do not agree to these terms, please discontinue use immediately.
## 2\. Employee Access and Accounts
### Account Eligibility:
- Access is restricted to current employees of 49th Parallel Roasters
- You must use your assigned work email address for account creation
- You must provide accurate employment and contact information
- Account access may be terminated upon employment termination
### Account Security:
- You are responsible for maintaining the confidentiality of your login credentials
- You must notify IT support immediately of any suspected unauthorized access
- Sharing account credentials with others is strictly prohibited
- You must log out of shared devices after use
### Account Management:
- Your manager or HR may request access to review your communications for business purposes
- Accounts will be deactivated when you leave the company
- Account data may be retained for business and legal compliance purposes
## 3\. Acceptable Use
### Professional Use:
- This platform is for work-related communications and collaboration only
- All communications should maintain professional standards
- Respect workplace policies regarding confidentiality and appropriate behavior
- Use appropriate channels for different types of communications
### You agree to:
- Communicate respectfully and professionally with colleagues
- Protect confidential company information and trade secrets
- Follow all applicable company policies and procedures
- Report any security concerns or policy violations promptly
- Use the platform in accordance with your job responsibilities
### Prohibited Activities:
- **Personal use:** Using the platform for non-work related communications
- **Harassment:** Any form of workplace harassment, bullying, or discrimination
- **Confidentiality violations:** Sharing proprietary or confidential information inappropriately
- **Security violations:** Attempting to access unauthorized areas or data
- **Illegal activities:** Any use that violates applicable laws or regulations
- **System abuse:** Attempting to disrupt, hack, or misuse the platform
- **Impersonation:** Representing yourself as another person or department
## 4\. Content and Communications
### Work Communications:
- All communications are considered company records
- Communications may be monitored for compliance and security purposes
- Content should be professional and appropriate for the workplace
- Follow document retention policies for business records
### Intellectual Property:
- Work-related content created on the platform belongs to 49th Parallel Roasters
- Do not share copyrighted materials without proper authorization
- Respect third-party intellectual property rights
- Company logos, branding, and proprietary information remain company property
### Confidentiality:
- Maintain confidentiality of sensitive business information
- Do not share login credentials or platform access with unauthorized individuals
- Report any accidental disclosure of confidential information immediately
- Follow data classification and handling policies
## 5\. Privacy and Monitoring
### Employee Privacy:
- Please review our Privacy Policy for details on data collection and use
- The company reserves the right to monitor communications for business purposes
- Communications may be reviewed for compliance, security, and legal reasons
- Personal privacy expectations may be limited on company systems
### Data Protection:
- All data is hosted securely in Canada
- Firebase services are used for push notifications
- Technical data may be shared with hosting provider (Open Door MSP) for platform maintenance
## 6\. Platform Management
### Availability:
- Platform availability may vary due to maintenance or technical issues
- We will provide reasonable notice for planned maintenance when possible
- Emergency maintenance may occur without advance notice
- Service interruptions may occur and are not guaranteed to be avoided
### Updates and Changes:
- Platform features and functionality may be updated periodically
- Security updates and patches will be applied as needed
- User training may be provided for significant changes
## 7\. Limitation of Liability
**To the maximum extent permitted by law:**
- The platform is provided "as is" for business use
- 49th Parallel Roasters and Open Door MSP are not liable for indirect or consequential damages
- Liability is limited to direct damages caused by gross negligence
- Users are responsible for backing up important work communications
## 8\. Employment Relationship
### No Employment Rights:
- These terms do not create or modify any employment rights or obligations
- Employment matters are governed by your employment agreement and company policies
- Platform access is contingent on continued employment
- Termination of platform access does not affect employment status
### Company Policies:
- These terms supplement, but do not replace, existing company policies
- Employee handbook and workplace policies continue to apply
- In case of conflict, company employment policies take precedence
- Report policy conflicts to HR for clarification
## 9\. Modifications
- These terms may be updated to reflect business needs or legal requirements
- Employees will be notified of significant changes via company communications
- Continued use after changes constitutes acceptance of updated terms
- Questions about changes should be directed to HR or IT support
## 10\. Termination
### Platform Access:
- Access will be terminated upon employment termination
- Temporary suspension may occur for policy violations
- Data export may be available before account closure (subject to company policies)
- Former employees must not attempt to access the platform
### Violation Consequences:
- Policy violations may result in disciplinary action up to and including termination
- Serious violations may be reported to law enforcement if applicable
- Access suspension pending investigation may occur for security reasons
## 11\. Governing Law and Jurisdiction
These terms are governed by the laws of British Columbia, Canada, and the laws of Canada applicable therein. Any disputes will be resolved in the courts of Vancouver, British Columbia.
